What can a business automate with AI?

Look for recurring tasks where information is moved or structured. Start with a bounded suggestion system and retain approval where errors could have consequences.

Enquiries and documents

AI can suggest a category, extract provided details or prepare a summary of an enquiry. The suggestion must be checked against its source. Missing information should be flagged, not filled in with assumptions. Fixed rules can then route the task to the right person or system.

When AI is not needed

Fixed fields, dates and status changes can often be handled by an ordinary integration. Do not use a language model for a calculation a deterministic rule can perform. Consider simplicity, cost, traceability and what happens if the provider is unavailable.

Test normal cases and exceptions

Use representative examples with appropriate data access. Include ambiguous enquiries, missing fields and failures in connected systems. Record what works, what needs manual review and which errors are unacceptable. This is a better basis for a decision than one successful demonstration.

Choose a pilot with clear ownership
